Use the FindUtils PDF tools to convert documents, compress images inside a PDF, or arrange its pages. Start with the task you need. Then check the exported document for readable text, page order, links, forms, and signatures. A PDF conversion or page copy does not guarantee preservation of every document feature.

This guide covers everything you need to know about working with PDFs online, from basic conversions to advanced workflows, all without expensive software like Adobe Acrobat.

## Why Process PDFs Online

The [PDF Merger](/pdf/pdf-merger/), [PDF Splitter](/pdf/pdf-split/), and [PDF Compressor](/pdf/pdf-compress/) perform their file operations in the browser. Processing time and file capacity depend on the document and available memory.

Local file processing does not certify the whole device or document workflow. Follow the handling requirements that apply to your files.

## The PDF Workflow: Common Tasks

### 1. **Conversion**
Converting documents TO PDF (Word, PowerPoint, images)
Exporting supported PDF content to other formats; verify the specific converter before choosing an output.

### 2. **Compression**
Reducing file size for email or web while maintaining quality

### 3. **Merging**
Combining multiple PDFs into one document

### 4. **Splitting**
Extracting specific pages from a PDF

### 5. **Editing**
Adding text, annotations, rotating pages, deleting pages

### 6. **Security**
Checking access restrictions and removing information with a tool that supports verified sanitization.

## The PDF Format: Why It Dominates Document Sharing

PDF was created in 1993 to solve a problem: "How do we share documents that look exactly the same on any device?"

**Strengths:**
- ✓ Stores a page layout for exchange between compatible readers
- ✓ Preserves formatting, fonts, images
- ✓ Can include passwords and digital signatures
- ✓ Universally supported
- ✓ Compresses well

**Weaknesses:**
- ✗ Content edits can be difficult when the source layout is unavailable
- ✗ Large file sizes (especially scanned documents)
- ✗ Not searchable by default (unless text-based)

## Converting Documents to PDF

Most document workflows end in PDF: final reports, contracts, proposals, invoices, resumes.

### Word to PDF
The most common conversion. The FindUtils [Word to PDF Converter](/convert/word-to-pdf/) accepts DOCX. It renders document content as images on PDF pages. Legacy DOC files need another conversion route. The output does not retain the original text as a searchable text layer.

**Use cases:**
- Finalizing a report for distribution
- Archiving documents
- Preventing accidental edits
- Ensuring consistency across platforms

**Tools:**
- [FindUtils Word to PDF Converter](/convert/word-to-pdf/) (easiest, free, browser-based)
- Microsoft Word (File → Export as PDF)
- Google Docs (File → Download as PDF)

### PowerPoint to PDF
Converting presentations to PDF creates a static page version. Animations and transitions do not become interactive PDF content.

**Use cases:**
- Archiving completed presentations
- Sharing slides with people who can't install PowerPoint
- Creating handouts
- Sharing a fixed page representation; this does not prevent copying or editing

**Tools:**
- [FindUtils PowerPoint to PDF Converter](/convert/pptx-to-pdf-converter/) (recommended, free)
- PowerPoint (File → Export as PDF)
- Google Slides (File → Download as PDF)

### Image to PDF
Creating a PDF from photos (useful for document scanning).

**Use cases:**
- Digitizing paper documents
- Creating image-based books or catalogs
- Archiving photos

## Compressing PDFs for Email and Web

Check the destination size limit first. The [PDF Compressor](/pdf/pdf-compress/) rewrites a document and can re-encode supported embedded JPEG images.

| Preset | Current operation | Check after export |
|---|---|---|
| Low | Structural rewrite without image recompression | File size and document features |
| Medium | JPEG re-encoding at quality 0.75; clears selected metadata fields | Image detail and metadata needed for your workflow |
| High | JPEG re-encoding at quality 0.5 with 0.75 dimension scaling; clears selected metadata fields | Small print, scans, charts, and legibility |

These presets do not promise a percentage reduction. PDFs without suitable JPEG streams can change little. Only smaller replacement image streams enter the output. This is not an OCR tool or a complete metadata scrubber.

## Merging and Splitting PDFs

Combining multiple PDFs or extracting specific pages is essential for document management.

### Merging Use Cases
- Combining chapters into a complete book
- Merging monthly reports into annual document
- Consolidating multiple scans into one file
- Creating a cover page + content + appendix

### Splitting Use Cases
- Extracting specific chapters from a book
- Removing blank pages
- Separating different parts of a document
- Creating smaller files for email distribution

## Editing PDFs Online

Modern PDF editors let you add text, annotations, and modify content without leaving your browser.

### What You Can Edit
- ✓ Add text and forms
- ✓ Draw and mark up
- ✓ Rotate, delete, reorder pages
- ✓ Merge and split
- ✗ Extract and replace embedded images (harder)
- ✗ Modify original text (recreate as new text box)

### When to Edit vs Reprint
**Edit in PDF if:**
- Adding signature or initials
- Filling form fields
- Adding notes or comments

**Recreate from source if:**
- Changing text content
- Reformatting layout
- Needs to be editable later (save as Word instead)

## PDF Security: Passwords and Redaction

A password requirement, an editing restriction, and removal of information are different tasks. Check the capability of the specific tool before using it for any of them.

The current [PDF Editor](/pdf/pdf-editor/) redaction control draws an opaque rectangle over page content. It does not remove the underlying text or image. Do not use that overlay for confidential information.

For sensitive removal, use a redaction workflow that removes the underlying objects. Inspect text extraction, metadata, attachments, annotations, and copied content before release. Keep the original in its approved storage location.

## Real-World Workflows

### Workflow 1: Creating a Contract for Signature
1. Write contract in Word
2. Convert to PDF using FindUtils' [Word to PDF tool](/convert/word-to-pdf/) (review layout and text accessibility after export)
3. Add signature line with the [PDF Editor](/pdf/pdf-editor/) (optional)
4. Share with recipient

### Workflow 2: Archiving Monthly Reports
1. Export report from accounting software as PDF
2. Compress a copy and compare its actual size and legibility
3. Merge with other months into annual PDF
4. Archive on cloud storage

### Workflow 3: Scanning Paper Documents
1. Scan to image (phone camera or scanner)
2. Convert images to PDF
3. Compress (reduce resolution if needed)
4. Archive digitally

## FAQ

**Q: Is it safe to upload PDFs to online tools?**
A: The PDF operations listed here process selected files in the browser. Review your device and organization requirements before using confidential documents.

**Q: Can I edit text in a PDF?**
A: Not easily. PDFs aren't designed for text editing. If you need to edit text, convert back to Word or recreate in Word, then re-save as PDF.

**Q: What's the best way to compress a PDF?**
A: Start with Low when preservation matters. Compare Medium or High only if you can accept image changes. Keep the smallest output that still meets the document requirements.

**Q: Can I password-protect a PDF?**
A: Use a tool that explicitly supports PDF encryption. An annotation or image overlay does not protect access to a document.

**Q: How much smaller can a PDF get?**
A: The result depends on embedded images and existing compression. Some PDFs show little reduction. Measure the output instead of assuming a fixed saving.
